Data protection and processing of personal data in HealthVillagePRO

The HealthVillagePRO service is used in an authenticated environment and it always requires the processing of personal data. This page explains what information is stored about you, in what circumstances, how it is processed and who is the data controller in each case.

The HealthVillagePRO service is used in an authenticated environment and it always requires the processing of personal data. Data is collected and processed in different ways in different situations. You can find the situations in which data collection is required, the data use cases and the privacy policies here.

NB: HealthVillagePRO is one of the three main products of the HealthVillage.fi service package. The other products are the Health Village hubs and the My Path service. When you use the HealthVillagePRO service, a professional account is created and your data is registered in the client register of the Helsinki University Hospital (HUS). HUS is the controller of client data.

Your data will be stored in the client register either after the first use (employees of the partner organisations of the Health Village) or after registration as a user (employees of other organisations).

Which data do we process?

When you log in, we collect the following information about you: username, name, work email address, work phone number and the organisation you work for.

The data of users logged in with an organisational ID is collected from the organisation or the organisation’s AD (Active Directory, user directory).

The data of users registered with a certificate card is collected from the users themselves and from the population register maintained by the Digital and Population Data Services Agency.

Purpose of processing personal data

To log in to HealthVillagePRO, you need to create a professional account for the service.

We also process your personal data to detect potential information security incidents, for example, by collecting data from data communication systems and data processing systems.

The processing of personal data of users registered with an organisational ID is based on the employment relationship and applicable law.

The processing of personal data of users registered with a certificate card is based on consent and applicable law.

Who can access your data and to whom do we disclose your data?

We do not disclose your data to third parties without your request. However, we have service providers maintaining our systems. These operators have a restricted access to your personal data due to the nature of their duties.

How long do we store your data?

We store your personal data for five years as of the latest login.

If you provide feedback using either the Give feedback or Report a technical issue forms and leave your contact information (optional), the Health Village’s privacy policy for personal data provided on the forms will apply.

If you use a separate service that requires authentication, such as a HealthVillagePRO chat, the specific privacy policy for that service shall apply. Please note that not all standalone services require authentication. If the service requires authentication, this is mentioned separately on the service’s introduction page.

If you are a researcher and interested in conducting research related to the Health Village, please fill in the 'Are you interested in doing research related to the Health Village?' Webropol form.

In the case of a request for publication of a completed study or article, you can submit a request for publication using the ‘Submit your research to the Health Village Research Bank’ Webropol form.

In both cases, personal data is collected from the researcher or the submitter. The processing of personal data is governed by the Health Village’s privacy policy for contact requests related to research activities.

The Health Village services sometimes organise ad hoc surveys, competitions and research or interview recruitments that require the respondent’s contact details.
